Our privacy policy describes how we collect and use information, and what choices you have. This Privacy Statement explains how we and our authorised business partners, affiliates, agents and subsidiaries process information, particularly personal data that we receive from you and others. Please do not use our website, products or services if you do not agree with the ways in which we will process your personal data and other information. We are a data controller for the purpose of the Irish Data Protection Acts 1988 and 2003.

- employee names, extension numbers, DDIs and email addresses to facilitate the configuration of the system;

- information about how you use our services, for example information generated when you use our network to make a phone call, or use our website;

- information needed to port your existing number, including your existing numbers and your account number from your previous carrier, and copies of previous telephone bills;

- all information collected using cookies or similar technologies; and
the IP address that is automatically assigned to your device when you log on through your organisation’s Wide Area Network or WAN.

3. How do we collect your information?

All data will be obtained fairly. Data will be adequate, relevant and not excessive in relation to the purposes for which it was obtained.

We may collect and process information about you in a number of ways, including:

- directly from you or others, such as where you set up services with us or contact us or our service providers with a request or query;

- from calls made to us or from us, which may be recorded for training and quality purposes;

- if you are an individual user, from your employer or company, for example, when they provide us with your details to facilitate configuration of our system or to create a user account for you;

5. How do we share your information?

6. International Data Transfers

Data may be legitimately transferred to our servants or agents for legitimate purposes as described above. This may include the transfer of data to other jurisdictions for processing at a destination outside the European Economic Area ("EEA") which may not provide the same level of protection of personal data as within the EEA. 7. For how long do we retain your personal data?

We retain your personal data for no longer than is necessary with regard to the purposes for which it was collected or lawfully further processed, or for so long as may be necessary in light of our legal obligations.

The following specific retention periods will be followed:

- Call Data Records (“CDRs”)
We will retain CDRs for up to 3 years for the purposes described above and to comply with legal requirements. We will endeavour to make CDRs available to you through the Hosted PBX for up to 12 months after your contract with us ends. If at any time you store what we consider to be an excessive amount of CDRs we may delete CDRs without notification.

- Call Recordings
Up to 12 months.

- Voicemail Retention
Up to 12 months.
If your mailbox allocated limits are reached in order to free space in your mailbox we may delete existing voicemails without notification.

We seek to ensure that we keep your personal data accurate and up to date. However, you are responsible for informing us of any changes to your personal data and other information (such as a change in contact details).

While we take these steps to maintain the security of your information, you should be aware of the many information security risks that exist and take appropriate care to help safeguard your information. The nature of the internet is such that we cannot guarantee the security of the information you transmit to us electronically, and any transmission is at your own risk. You have rights under the Irish Data Protection Acts 1988 and 2003 (as amended). You have the right to ask us not to process your personal data for marketing purposes. You also have the right to access information held about you, and to request that we update, correct or delete any inaccuracies in your personal data. You may also request that we cease processing that is causing you harm. Your rights can be exercised in accordance with the Data Protection Acts 1988 and 2003. Any access request may be subject to a statutory fee to meet our costs in providing you with details of the information we hold about you.

You can withdraw your consent to our processing of your data at any time. Any terms not defined in this Privacy Statement have the meanings given to such terms in the Data Protection Acts 1988 and 2003.
